COMMITTEE MEETING
NOVEMBER 17, 2010
Members Present: Committee members present were Bucky Jardine and John Bennett; Shawn Miller, Chairperson and
William Kacvinsky were present via phone.
Staff in Attendance: Jason Bodine, Administrator; Steve Probst, Assistant Administrator present via phone.
Others in Attendance: Robert Huray via phone.
Call to Order: The meeting was called to order by Chairperson Shawn Miller at 4:00 P.M.
Reviewing Bids From the November 15, 2010 Timber Sale Bid Opening: The administrator presented a situation that
occurred during the bid opening. Five (5) timber sale bids were discovered in the mail slot behind the office door during
the morning of November 16, 2010. The individual who deposited the bids stated that they were placed in the slot around
4:15 p.m. on November 15, 2010. The deadline for timber sale bids was 6:00 p.m. on November 15. Security cameras
verified the placement of the bids at 4:19 p.m. and they were also observed in the mail slot by another bidder at 5:45 p.m.
on November 15, 2010. Also, the winning bid for sale 15-10 was rejected due to an incorrectly filled out bid sheet.
After some discussion, Bucky Jardine made a motion to open and record the 5 timber sale bids as part of the November
15, 2010 timber sale bid opening. Bill Kacvinsky provided the second. The motion passed. The bids were on tract
numbers 13-10, 16-10, 17-10, 23-10 and 28-10. 16-10 and 17-10 were winning bids.
For sale 16-10, Bucky Jardine made the motion to rescind the initial awarding of the sale to Futurewood and award the
sale to the new winning bidder, NewPage. Bill Kacvinsky provided the second. The motion passed.
For sale 17-10, Bucky Jardine made the motion to rescind the initial awarding of the sale to Futurewood and award the
sale to the new winning bidder, NewPage. John Bennett provided the second. The motion passed.
For sale 15-10, Bill Kacvinsky made the motion to reject the winning bid for sale 15-10 due to an incorrectly filled out bid
sheet. Bucky Jardine proved the second. The motion passed.
The Committee directed the administrator to re-offer sales 15-10 and 8-10 (did not receive a bid). The timber sales will
be opened during the December 13, 2010 Forestry Committee meeting.
Shawn Miller adjourned the meeting at 4:24 p.m.
