BAYFIELD COUNTY FAIR COMMITTEE MEETING
Wednesday, January 25, 2011 – 5:30 p.m.
County Board Room, Courthouse – 117 E. 5th Street - Washburn, Wisconsin
Minutes
1. Call To Order
The Chair, Dee Kittleson called the meeting to order at 5:30 pm.
Members present: Marco Bichanich, Bill Kacvinsky, Dee Kittleson, Shawn Miller, and Patti Rantala
Others present: Mary Motiff, Director, Theresa Kummerow, Secretary, and Bob Janigo
2. Approval of Minutes from November 21, 2011 Meeting
MOTION (Miller, Rantala) To approve the November 21, 2011 minutes as read. Motion Carried.
3. Budget Review
The Fair Budget Worksheet Report was handed out. This report shows the Amended Budgets, Actual Amounts
for 2010 and 2011. The Department and County Board 2012 budget figures are also listed on this report. The
2011 actual expenses came in under the dollar amount budgeted.
The original 2012 Capital Improvement 5-year plan was also looked at. This was the 5-year plan that the
Committee had approved in May. There have been changes made to the CI budget since then by the Executive
Committee. An updated CI plan will be presented to the Committee at the next meeting.
4. Administrative Updates
Staffing Hours – Kummerow is currently scheduled to work 9 hours a week.
WI Association of Fairs Convention – Kacvinsky, Kittleson, Miller and Motiff all attended the convention. Some
entertainment was reserved.
Revisions - Over the next few months, the premium list, sponsorship and vendor information will be revised.
Recruiting- Judges, superintendents & other volunteers will be contacted and confirmed.
5. 2012 Fair Planning
Wristbands–Discussion on free wristbands. The carnival contract allows for free the following: 75 daily and 100
season wristbands. In 2011 there were 95 daily and 181 season wristbands given away for free. A partial
breakdown was: Superintendents-24 season; Exhibit Hall workers-15 season; Fire Dept. & EMS-36 season & 15
daily; Sponsors-84 season; Ticket Sellers & Car Parking- 60 daily. The Committee would like to see the ticket
sellers and car parking free wristbands counted separately from each other.
Boy Scouts–At the last meeting the consensus was to pay the Boy Scouts $750 for car parking on Friday,
Saturday and Sunday. Discussion on days needed, fees and free wristbands.
The Consensus of the Committee is to have Motiff offer the Washburn Boy Scout Troop a flat fee of $500
for parking cars on Saturday and Sunday and allow them up to five free daily wristbands for each of the
two days.
The Consensus of the Committee is to have Motiff discuss with Spectrum Carnival our needs for
additional free wristbands.
Half-Price Thursday–Discussion on attendance and financials. The carnival has suggested a $2.50 split per daily
wristband on Thursday instead of their usual $3.50 per daily wristband. Using last year’s attendance numbers the
Fair would make $937.50 instead of $562.50. The Administrator suggested that the carnival take 35% (their usual
percentage). They would then get $1.75 out of each $5.00 daily wristband sold on Thursday; the Fair would make
$1218.75.
The Consensus of the Committee is to have Motiff discuss with Spectrum Carnival reducing their share of
the Half-Price Thursday daily wristbands to $1.75 (35%).

Royalty Tickets–Season pass Royalty Tickets were sold at a $5 discount last year. Out of the 217 tickets that
were sold only 173 were turned in. Motiff has discussed with the carnival a reduction in their payout per ticket.
The carnival would receive $6.50 instead of the usual $8.00 per ticket, (the Fair would have made an additional
$259.50 in 2011 with this payout).
Beer Garden – Kittleson presented Lori Fibert’s suggestion of having only one beer garden. The grandstand
beer area and the beer pavilion would be combined into one area, under a tent accessing the grandstand. The
current beer garden would be used for family entertainment, for example: the clown, magician, and some music,
thereby eliminating the need for two rented tents. The new beer tent could use the portable stage after some
modifications have been made. A low-cost, possibly no-cost tent may be available from a local VFW or American
Legion to use for the beer tent. Some of the pros for the idea included: less bartenders, less security, easier
inventory control, less monies spent on tents for entertainment, closer proximity to vendors. Some of the cons
discussed included: the need for a dance floor, removal of fencing, beer garden in a prominent place, tradition,
the need for additional electrical upgrade and grandstand shows interfering with music in tent.
No decision was made on combining the beer garden and the grandstand beer area into one; further
discussion will take place at upcoming meetings.
Entertainment–
Clown with face painting-Oz Seeker the Clown – the contract has been signed.
Magician–Mike Schroeder (Comedy Magic of Mike) had been confirmed by email. He is willing to perform his
hanging escape trick.
Dock Dogs – The Committee would like Motiff to look further into the availability and cost of having a “Dock
Dogs” type show.
Motorcycle Trials – The contract has not been signed but they are holding the date open for the Fair. Currently
the contract calls for three shows on Thursday, Friday and Saturday, the Committee would like to change that to
Friday, Saturday and Sunday. Discussion on whether to have the shows held on or off the track.
Bob Janigo presented some entertainment suggestions.
Mud Run - Janigo suggested having a Mud Run on Friday night or Saturday afternoon. Discussion on
track logistics. Janigo will get the information for the Northwestern Mud Runners to Motiff.
Wife/Spouse Carrying Championship- This would be a timed obstacle course event.
Renaissance Fair - The local Renaissance group could put on a Renaissance Fair type event.
Professional Jousting – A professional jousting event.
Golf – A putting green or drive contest could be held with a local group running it.
American Idol – Hold an American Idol type event.
Cattle Penning - Have the CEZRA group hold a cattle penning event in front of the Grandstand.
Bichanich noted that he has been contacted by someone interested in doing this.
Dirt Dash – Janigo would like to have a $1500 corporate sponsor be given naming rights to an event.
Discussion. Janigo would also like to have $1200 of these monies to be used as additional payout
monies and $300 of it would go towards advertising. This will be looked at further at a future meeting.
Kacvinsky would like Motiff to get more information on the following.
Justin Hoyer and the Motorcycle & snowmobile extreme stunts and jumping for Friday night or Saturday
afternoon.
Dock Dogs- “Dock Dogs” or a “Dock Dogs” type show.
Petting Zoo – The Committee looked at the contract for the petting zoo which will be there Thursday through
Sunday. The consensus to hire the petting zoo was made at the Convention.
The Consensus of the Committee is to have Motiff get the number of animals to be brought to the Fair
added to the contract.
The Consensus of the Committee is to have Motiff sign the contract with RPM Promotions for the Team
Extreme Trials Showcase as long as the performance dates can be changed to Friday, Saturday and
Sunday with the shows not taking place in front of the Grandstand.

Big Top Idol Finalist – Motiff has been working with Big Top Chautauqua on having their Finalists perform- at no
charge- to perform on Saturday or Sunday.
Vince Anthony – A country singer that is being sponsored by Heather from the Carnival at no charge to the Fair.
Saturday afternoon from 4-7 pm in the beer garden and also perform in front of the Grandstand to warm up the
crowd before the Bull Riding.
Saturday Evening Band – Discussion on a band to perform in the beer garden on Saturday from 8 pm to
Midnight. Free Falling (a band that does Tom Petty cover) was discussed as an option.
Red Bird Drum & Dance - Legendary Waters partly sponsors the Red Bird Drum and Dance.

6. Fair Royalty Program Review
Photos of the Royalty (Jessica Pearce and Kayla Huber) at the Applefest Parade were passed around. There
were 217 Royalty tickets sold with 173 tickets turned in. This year there will be one Fair Royalty aged 13-18.
Kittleson and Motiff will meet to discuss updates. Details will be presented at a future meeting.
7. Buildings & Grounds Updates
2012 Projects - Motiff and Davies have discussed possible 2012 projects.
Winter Storage - Winter Storage release dates are set for April 21 & 22, and April 28 & 29.
Non-Fair Events - Horse groups have reserved the fairgrounds for their shows in 2012.
8. Future Agenda Items
Updated 5 year Capital Improvement plan
9. Next Meeting Date
The next meeting will be held on Wednesday, February 29th at 5:30 in the County Board Room.
