Call To Order Meeting called to order at 6:02 by the Co-Chair, Marco Bichanich. Members present: Marco Bichanich, Jim Crandall & Shawn Miller Members Absent: Dee Kittleson and Rusty Williams Others present: Mary Motiff, Tourism Director; Theresa Kummerow, Administrative Assistant & Scott Williams, new Fair Grounds Head Groundskeeper. 2. Approval of Minutes from February 17, 2015 Fair Committee Meeting (Miller, Crandall) Motion to approve the minutes of February 17, 2015 as presented. Motion Carried. 3. Public Comment No public comment. 4. Introduction of new Head Grounds Keeper Scott Williams was selected as the New Bayfield County Fair Grounds Head Grounds Keeper. Scott Williams thanked the Committee for the opportunity to move up as the Head Grounds Keeper. Motiff noted that the wage was advertised as $11 to $12 per hour. S. Williams was offered the position at $11 per hour. Discussion. The consensus of the Committee is to have Scott Williams hired at the $12 per hour rate and to have Motiff share this with the Administrator. S Williams would like the Committee to have his contact information. Kummerow will send this out to the committee members. Motiff also praised S Williams for all of the assistance he has been giving to the Show Ring project at the Fair Grounds. 5. Discussion on 2015 Budget Items A 2015 Budget worksheet was included in the Committee’s packet. The highlighted items are line items that the Committee had asked for more funds but the dollar amounts were not approved by the Administrator or the County Board. A five year budget informational graph for promotional items and advertising was also included in the Committee packets. 6. Discussion and Possible Action on Budget Amendment for Capital Improvement Project A copy of the Budget Resolution for the Show Ring Project was handed out at the meeting. Discussion regarding the budget amendment. (Miller, Crandall) Motion to approve the Budget Amendment for the Show Ring Capital Improvement Project and to have it forwarded on to the County Board for approval. Motion Carried. 7. Update on 2015 Fair Planning A few new items to mention for this year’s Fair include: the Mechanical Bull, Ag-Olympics, and the Lords of Baltimore- a local band. Kummerow followed up on a lead for the Mechanical Bull. We plan on placing them just outside of the beer garden. We will be paying them a fee, but they will be providing their own insurance Bayfield County Fair Minutes 3-24-2015 Page 2 of 2 with Bayfield County listed as an additional insured, their own tent, lights and sound. They will be charging an extra fee for those who wish to ride the mechanical bull. The Bayfield County Wellness Committee is looking at putting on the Ag-Olympics on Thursday evening. More details will follow. Kummerow is still waiting to hear regarding a grant to have local artisans ply their crafts at the Fair. A tentative contract from Division Stunt team has arrived. Kummerow still has some clarifications to work out with them. Sponsorship information is available for the Committee members to take with them. We have mailed out approximately 400 letters already. Currently, we have 5 sponsors who have responded already. 8. Buildings and Grounds Update Show Ring Pavilion - Construction has begun on the new Show Ring Pavilion. Lipka Construction is the contractor. A drawing showing the pavilion, show ring, bleachers, auctioneers stand and photo area was handed out. Motiff displayed some photos of what the job site currently looks like. She noted that there is an electrical pole that will need to come out. S Williams noted that a new line electrical line will be trenched to a new electrical panel located on the auctioneer stand. The lighting options are still being considered for the inside and outside of the pavilion, Winter Storage - Winter storage release dates have been set for April 18th & 19th and April 25th & 26th. Safe Room - The Safe Room is on the next County Board agenda. If the Safe Room is approved construction will begin as soon as possible, with a completion date set for July. AgStar grant – Kummerow is still waiting to hear from them regarding the grant for the swine barn. Exhibit Hall – Crandall would like to get a start on the Exhibit Hall rehab when it gets nice enough. At a future date, Motiff, Kummerow and S Williams will be doing an inventory and walk through of buildings and looking over the proposed projects, any Committee member that would like to join them is more than welcome. 9. Future Agenda Items and Next Meeting Date The next Fair Committee meeting will be held on Tuesday, April 28, 2015 at 6 pm at the Courthouse in the County Board Room. 10.
