Call To Order Meeting called to order at 4:00 pm by the Chair, Dee Kittleson Members present: Dee Kittleson, Marco Bichanich, Jim Crandall & Rusty Williams Members Absent: Shawn Miller Others present: Mary Motiff, Tourism Director and Theresa LaChappelle, Administrative Assistant 2. Approval of Minutes from April 28, 2015 Fair Committee Meeting (Williams, Bichanich) Motion to approve the minutes of May 27, 2015 as presented. Motion Carried. 3. Public Comment No public comments 4. 2015 Fair Planning a. Human Foosball – Janigo is still interested in having this event at the Fair. He anticipates the cost to be around $250. More details are needed before the Committee will approve. This could be a possibility for next year, if there is someone to run it. b. Sponsors – The Sponsor list has been updated. c. Show Ring Pavilion – The will not be a dedication ceremony per the request of the donor. There will be having a plaque put up before the Fair. d. Fire Works -Discussion on the possibility of having fireworks. The committee raised some concern regarding the reactions by some of the animals. The beef and horse superintendent have been contacted; they feel as long as the fireworks are not too loud, it should be ok. A sponsor has been found for a portion of the cost of the fireworks (Williams, Bichanich) Motion to approve the fireworks display on Saturday, after the Division Stunt Team has finished. Motion Carried. e. BART Shuttle – The BART shuttle will run on Sunday from both Ashland and Washburn with a pick-up spot in Iron River. Senior Citizens (60+) and youth 5 and under may ride fee; everyone else will pay $1 each way for the ride. f. Advertising – Posters are being distributed, tri-fold brochure will be done today, and ads are scheduled for radio, print, weather TV and Face Book boosts. g. AgStar Grant – AgStar will be at the Fair Grounds on Friday at 3 pm for a check presentation. h. Commercial vendors – Letters have been sent, we have received some inquiries. i. Exhibitors – Some registrations have come in, so the deadline has been extended to July 1st. j. Volunteers – Information was included in the premium list and the 4H newsletter. Non-profit organizations will be contacted next week. Ticket Seller/gate schedule is included in the Committee members’ packets. k. Parking – The Washburn Boy Scouts will be contacted to do the parking. Bayfield County Fair Minutes – June 29, 2015 Page 2 of 2 5. Discussion and Possible Action on the WI Assoc. of Fairs Fall District Meeting The Bayfield County Fair is hosting the District 2 Fall District meeting on October 14th. A discussion regarding holding this event at the Fair Grounds in the FEMA Safe Room was held. The price per person for the catered in meal and registration will be approximately $15/person. We will also need to acquire some door prizes. 6. Discussion and Possible Action on 2016 Budget A worksheet comparing the 2014 actual budget and the 2015 adopted budget was included in the Fair Committee members’ packets. A discussion will be held on the 2016 budget at the next meeting. 7. Buildings and Grounds Update a. Show Ring Pavilion-The Show Ring Pavilion is completed. b. Safe Room Building –The building is on schedule. Mark Abeles-Allison, Bayfield County Administrator, and Mary Motiff, Director, did a site inspection on Friday, June 26th. The Safe Room will be done by Fair time. A possible open house will be held then to get information out to the public regarding the Safe Room. c. Beer Garden – The stage is being built and the electric will be installed soon. d. Swine Barn – The concrete is in and the pens have been ordered. e. Restroom/Showers – The shower leaks may not be able to be repaired before the Fair due to budget concerns and unexpected expenses. The new shower heads and shower curtains have been installed. f. Exhibit Hall and Garden Building - The work has not yet been started. g. Electrical Upgrade to Camping along Beef and Horse Barns – The materials have been ordered; work will begin shortly. h. Horse Arenas i. Dressage Rings – NorthWoods Dressage has paid for sand to be brought in for the dressage rings. ii. Horse Arena – Gates and posts have been replaced on the arena. 8. Future Agenda Items and Next Meeting Date The next Fair Committee meeting is planned for Monday, July 27, 2015 at 4 pm in the County Board Room. 9. Adjournment The meeting was adjourned at 5:15 pm.
