HomeMy WebLinkAboutTourism & Fair Committee - Minutes - 3/9/2016Bayfield County Fair Minutes 3-9-16 Page 1 of 2 BAYFIELD COUNTY FAIR COMMITTEE MEETING Wednesday, March 9, 2016 – 4 p.m. County Board Room, Courthouse, Washburn, WI 54847 Minutes 1. Call To Order Meeting called to order at 4:05 pm by the Chair, Dee Kittleson Members present: Dee Kittleson, Marco Bichanich, Jim Crandall & Rusty Williams Members Absent: Shawn Miller Others present: Verne Gilles; Bob Janigo, Mary Motiff, Tourism Director and Theresa LaChappelle, Administrative Assistant 2. Approval of Minutes from January 25, 2015 Fair Committee Meeting (Crandall, Bichanich) Motion to approve the minutes of January 25, 2016 as presented. Motion Carried. 3. Public Comment Public Comments will be taken during the appropriate agenda discussions. 4. Budget Update The 2015 Budget was discussed. Motiff noted that the funds for the FEMA Safe Room arrived. The auditors will also need to put these funds back into the 2015 Budget. 5. Discussion on and Possible Action on 2016 Fair Planning a. Entertainment i. Schedule – An updated schedule (by type of entertainment and status) was included in the Committee Members’ packets. Discussion. ii. Drone Competition - Janigo stated that this will not be pursued further since it is not a spectator-type event. iii. Pickle Ball – Janigo noted that his contact is not back in the area yet. Janigo will follow through on discussions with his contact in the future. iv. Human Foosball – Janigo would like to set up two fields for the competition. There are 6 people on each team. There would not be any additional fees for the teams, but the gate fee would need to be paid. Material costs will run about $1,500 if plywood (approx. 26 sheets) and 4x4x8 posts (approx. 40) and other various materials are used. He will pursue donations for materials. Janigo will pick up the Sponsor information from the office, so appropriate sponsor benefits can be assigned. Promotion of the event was discussed. LaChappelle noted that she should be able to set up a registration form on the website and will assist with the creation of the poster and assist with poster distribution. Consensus of the Committee is to have Janigo pursue with the Human Foosball event. v. Website Promotion - Discussion occurred regarding the difficulties the public have with finding the Bayfield County Fair web pages. (Bichanich, Williams) Motion to approve the pursuit of having a hot button link on the Bayfield County website Home page. Motion Carried. b. Veteran/Military Discounts i. Veteran/Military – An admission’s discount was discussed. (Crandall, Bichanich) Motion to table the discussion on Military discounts. Motion Carried. ii. Purple Heart Program – Motiff reviewed the information on the Purple Heart Program that was included in the Committee Members’ packets. (Crandall, Bichanich) Motion to move forward in enrolling the Bayfield County Fair in the Purple Heart Program. Motion Carried. Bayfield County Fair Minutes 3-9-16 Page 2 of 2 c. Logistics i. Vendors – LaChappelle has completed redesigning the Vendor Forms and creating a Vendor Policy Booklet. Discussion. LaChappelle will check on the Liability Insurance dollar amounts and make any adjustments as needed. (Crandall, Williams) Motion to approve the Vendor Policies and Forms. Motion Carried. 6. Buildings and Grounds Updates a. Safe Room The Iron River area had a recent power outage. Scott Williams was near the Fair Grounds and noted that the Safe Room generator had started up and appeared to be running. 7. Administrative Update i. Summer Assistant Job Opening – The deadline for applying has been extended to March 20th. Please encourage people you may know to apply. ii. Blueberryfest Parade – Motiff will be in the parade representing the Bayfield County Tourism Department and will distribute flyers for the Fair. iii. Thank You Card – A Thank You card was signed and will be sent to the Vernon family in appreciation of their donation. iv. David Lulich – A Thank You card and a copy of the Memorial brochure from the Lulich Family was included in the Committee Members’ packets. Discussion. Consensus of the Committee is that before the 2016 Bayfield County Fair a resolution honoring David Lulich’ s many years of time donated to the 4H Market Sale and the Bayfield County Fair will be brought before the Bayfield County Board. 8. Future Agenda Items and Next Meeting Date The next meeting will be held on Monday, April 25, 2016 in the County Board Room. 9. Adjournment The meeting was adjourned at 5:07 Marco Bichanich was presented with a card and a framed Bayfield County Fair poster as a Thank You for the many years he has given to the Fair. Cake and coffee was served.
