K:\Agendas and Minutes\CCOP Advisory Committee\Minutes\2023 CCOPAC minutes\2023-09-12 CCOP Minutes - Draft.docx BAYFIELD COUNTY DEPARTMENT OF HUMAN SERVICES CHILDREN’S COMMUNITY OPTIONS PROGRAM ADVISORY COMMITTEE MEETING Notes Bayfield County Courthouse via Teams Meeting & Phone Tuesday, September 12, 2023, at 10:00 a.m. Committee Members Present: Hayley Weyers, Michelle Lampson, Anna Hanson, Sherri Paulson (virtual at 10:47) Staff Present: Heather Gilbertson Call to order: Weyers called the meeting to order at 10:48 when a quorum was reached. Discussion and Possible Action - Review/adoption of minutes from 12/13/2022 meeting: Motion by Lampson, seconded by Hanson to approve the December 12, 2022, meeting minutes. Motion passed. Committee Binders:  Weyers reviewed the first three sections of the Committee Binder. o Highlighted the CCOP monetary graphs from 2021. Committee Participants:  Enrollment Report: 42 active enrollments and 1 active referral.  Youth Support and Service Coordinators anticipate that there will be an influx of referrals in October due to kids going back to school. This is what has occurred in previous years. Other Informational Items:  Discussion was had about pulling in committee members since the committee struggles to have a quorum at meetings. Committee members went through the requirements listed in the committee binders as set forth by the Wisconsin Department of Health Services, to determine who should be asked to join the committee. Members also discussed moving the meeting to every other month instead of quarterly. Members believe this will help maintain a meeting schedule that will be more straightforward to follow.  School districts cannot be added to the committee until more parents are on the committee per the requirements.  In-person Conferences are starting back up.  Conferences can help families feel less isolated and can be a good source of information and materials. Discussion and Possible Action – Review and approval of the CCOPAC to meet every other month instead of quarterly. The meetings will take place on the 2nd Tuesday of the odd numbered months at 10:00 am. The next few meetings will be November 14th at 10:00 am and January 9th at 10:00 am. Motion by Weyers, seconded by Lampson to approve the CCOPAC meet every other month instead of quarterly. Motion passed.
